Who's good enough for you?

Had a nice call from a potential client asking if I would look after all their boxes which were currently at a competitors.

Yes I said, I'd be delighted. As we all know, there is nothing better than a free lunch / gift horse!

When I asked why they wanted to move, the client said that their current facility was not compliant with the regulations that they were required to adhere to for archive storage. Once I found out who the current provider was, all became clear.

My new client needed fire detection to BS5839, fire cladding on storage areas, Redcare link, internal and external CCTV, barcoding of boxes and swift delivery in GPS tracked and liveried vehicles. That was a tick in every box for us!

So how many boxes have you got then I asked. "Erm, we're not sure" came the rather worrying response. "They can't actually tell us, they're going to go and count them and let us know".
I suggested that as they didn't know how many boxes they were storing, how did they know that the billing was accurate? In addition, how were they able to accurately recall information back?

I offered our indexing service so they could tell what they actually had and would be able to recall the correct box. This was snapped up and they were pleased that they would finally be able to use their archive and be compliant with regulations.

So my new client asked when I could go and collect the boxes and I told them that it would be whenever they are ready. We're going out early next week to pick them all up. Lovely.

So this begs the question, does your industry require a particular standard when it comes to archiving and the retention of documents?
