I have just been to one of the worst storage areas I have ever seen, I think it ranks at number 3 in the all time list of storage disasters.
The list of things wrong with it in the main were, asbestos in the crumbling and collapsing roof, 3 types of furry rodents holding a 24/7 party with 30 of their nearest and dearest, 2 water leaks, damper than a night time nappy and no clue where one section of filing ended and the next started. Oh and an absent lock on the high dependency area with a fire door which had a gap round the frame you could have driven through. Not to mention an exterior padlock with all the strength of Plasticine and the fact it was round the back of a takeaway of dubious reputation.
Client reaction... "Hmm, see what you mean, not great is it" Err no Mrs Client, it could be better.
For a change the cost element didn't even enter the frame, it was a case of when can you move it out?
This client didn't actually realise that there was a major issue with the storage as they never visited the archive. Members of staff were always sent down to try and find some lost part of the archive but often returned empty handed. When this was highlighted further up the chain of command, a decision maker decided that there was an issue to be investigated.
All to often the "ground troops" are left to suffer in silence be it an issue with space, condition, time etc but no action is taken until it starts to affect people higher up the food chain. The usual initial comment tends to be along the lines of "why did nobody highlight this issue". More often than not this will induce a raising of eyebrows and collective tutting from all the staff that HAD mentioned it, SEVERAL times.
If archiving is an overlooked part of your business, ask your self where is it all, could it be better looked after and what am I asking my staff to go through when they need to access data?
