Try as you might to embrace this tecnology lark, there will always be a stumbling block and this week it's document scanning.
Cut down on the amount of paper you keep / generate and scan it all? Splendid idea, now how do you do that then?
A bit of internet research and a chat to a few friends who are a bit techie and it's off to Staples to buy an all in one machine that copies, prints, scans and reminds you when your anniversary is. Three hours later the software still won't load and you have 2 leads in your hand and not a clue where they go.
If you do get the infernal machine going this side of xmas, have a drink standing by but not too close!
Scanning is brilliant, no really it is but you do need to consider what is going to work for you. To help you through the minefield here are some questions you will need to ask yourself.
Am I going to scan the contents of all my boxes / files?
Do I need to scan every bit of post that comes in?
Have I got the time / resources to scan ?
How will the scanned information appear and can I use it?
Once I've scanned everything, can I get rid of it?
Will by machine break if I scan staples and paperclips? Yes!
Can my machine sheet feed and duplex?
Should I outsource my scanning?
Is scanning cost effective?
These are just a selection of the most common questions asked when it comes to scanning. At Safebox we love archiving but understand that scanning has a real place in the paper world, we have a scanning department that will give you all the available options and make sure that you make the right choice, first time.
You wouldn't by a car before a test drive and the same rule applies to scanning, the convertible may look fantastic but what you really need is a people carrier.
