Barcodes are not just for cans!

At a client meeting this morning, my client and I stripped right back how their tape back-up worked, or not in this case.  We were the last part of the project by taking the tapes off site and establishing a weekly rotation.

The client was concerned how they could recall the tapes with a foolproof system. The only way to proceed was with bar coding each individual tape. My client really didn't have the time to sit with his tapes and create a spreadsheet with his tape ID against our bar code. He was delighted when I said that we would do all this for him and present a spreadsheet with all the information on it.  From there I suggested that he create a 6 month rotation schedule so his tapes would be automatically pulled and delivered back on the appropriate day and time. Also that he could always pull a tape out of rotation by requesting the appropiate tape by bar code number.

To say he was delighted with the prospect of having this part of his life streamlined is a slight understatement and he almost handed the tapes over there and then. I asked him to hold off until we had his account set up and we had everything written down so both sides were clear on responsibilities and the system to be employed.

The bar code system not only allows us to scan the movement of every item that we store, but it also gives us a history of when it moved, when it was delivered to a client, who signed for it and when it came back.

This is an invaluable tool for a client to be able to show due dilligence as far as compliance for data management and also track where their data is at any time.

Trying to manage an archive on a manual or spreadsheet system in almost impossible and leaves a great deal for margin of human error.  By bar coding, everything is scanned for traceability and there are no holes.
